Client Reports

Build branded client reports with a drag-and-drop builder, tell the story of each month and send them as a PDF.

Reports Overview

Client reports turn a period’s results into a document you can hand to a client: the story first, then the numbers that back it up. You set up a template once (which accounts, which sections, which metrics), then create a report from it each month, write the narrative and send it as a PDF.

Open Reports in the dashboard sidebar. It has two tabs: Reports for the monthly documents and Templates for the formulas they start from.

Part of a report: a section heading, a spotlight and a goal side by side, then key numbers

Templates

Create a template from Templates → New template and start from one of three starting points:

  • Monthly client report: summary, key numbers, growth and engagement charts, top posts, per-account results, wins, learnings and next steps.
  • Executive one-pager: the story in one page, with a summary, four key numbers, the top three posts and what comes next.
  • Blank report: a cover and a summary, for building your own.

The template settings decide what every report made from it covers:

  • Accounts and networks: all accounts or a specific set, and optionally only some networks.
  • Brand kit: the logo and colours of the report. The organization’s default kit is used unless you pick another.
  • Default recipients: prefilled each time you send a report.

The Report Builder

Templates and monthly reports are edited in the same drag-and-drop builder. The page in the middle is the report exactly as your client will see it.

  • Components (left): drag one onto the page and drop it between two blocks, or click it to add it after the selected block.
  • Move a block: point at it and drag the grip in its top-right corner. A line shows where it will land.
  • Blocks (left): the page as a list. Select, remove or reorder blocks here, also with the keyboard.
  • Settings (right): choose the metrics, chart type, breakdown, heading and width of the selected block.
  • Side by side: set two consecutive blocks to Half width and they share a row, on screen and in the PDF.
Each report keeps its own copy of the layout. Change a monthly report as much as you like: the template, and every other report, stay as they are.

Components

A report can hold up to 40 blocks. Metrics are only offered where the block can show them and where at least one network in the template reports them.

ComponentWhat it shows
CoverLogo, report title and period, compared with the previous period.
Section headingOpens a chapter of the story, such as “Growth” or “Community”.
TextYour narrative: summary, wins, learnings, next steps or free text. The template can hold a prompt that guides what to write each month.
Key numbersUp to 8 metrics, each with the change vs the previous period.
SpotlightOne number, large, with a sentence on why it matters this month.
GoalA metric against a target you agreed with the client, with a progress bar.
ChartLine, area, bar or donut. One or two metrics over time, or one metric split by network or account, by day or by week.
Top postsThe best posts of the period ranked by a metric, as cards or a list.
TableUp to 6 metrics side by side for each account or network.
QuoteA client or customer quote, with who said it.
ImageA screenshot or campaign visual from your Assets Store, with a caption.
Page breakIn the PDF, what follows starts on a new page.
Blocks left empty, such as a text nobody wrote, a quote without text or an image without a picture, are left out of the PDF. Hidden blocks are left out too.

Creating a Monthly Report

1

Create the report

Click New report, choose a template and a period. A whole month is compared with the previous month; a custom range with the period of the same length just before it.
2

Tell the story

Write the summary and the other texts straight on the page. The template’s prompts show where to start.
3

Adjust this month’s layout

Add, remove or move blocks, or switch metrics, to highlight what matters this month: skip impressions one month, add a spotlight on new followers the next.
4

Send it

Download the PDF or email it to the client.

The numbers are collected when you create the report and then frozen, so a report you sent never changes. Because every metric for the period is collected, adding a block or switching its metric shows the real numbers straight away. Changes are saved automatically.

Like this month’s layout? Use Save layout to template in the right-hand panel. Future reports from that template start with it. This month’s texts, captions, quotes and highlights are not copied, and existing reports don’t change.

A report moves through three statuses:

StatusMeaning
DraftBeing prepared. Refresh data collects the numbers again, for example when the month has just ended.
ReadyThe numbers are final. Texts, highlights and layout can still be edited. Reopen as draft allows refreshing again.
SentEmailed at least once. You can still correct it and send it again.

Top Posts and Highlights

Top posts are posts published in the period, ranked by the metric you choose. In a monthly report you can shape the ranking:

  • Pin a post to keep it at the top, whatever its rank.
  • Hide a post that shouldn’t be in the report.
  • Add a note on why a post worked. It appears under the post, after “Why it worked”.

PDF and Email

Download PDF saves the report as an A4 document with page numbers. Send emails it:

  • Up to 10 recipients per send, prefilled from the template’s default recipients.
  • The PDF is attached and generated at send time, so it includes your latest edits.
  • The email goes out in your organization’s name, and replies come back to you.
  • Every send is listed in the report with its recipients and status.
PDFs are never stored: they are generated each time you download or send. A report can be emailed up to 20 times a day.

How the Numbers Are Calculated

Reports use the post and audience data Octapost collects from your connected accounts:

  • Post metrics (impressions, reach, likes, comments, shares, saves, clicks, video views) count the activity during the period, including on posts published earlier.
  • Engagements are likes + comments + shares + saves; the engagement rate is engagements ÷ impressions.
  • Followers is the count at the end of the period; net new followers is the change over the period.
  • When a metric isn’t available for the networks in the report, its block shows No data for this period instead of zero.
