Upload and organize images, videos and GIFs to reuse across all your posts.

What is the Assets Store?

The Assets Store is a centralized media library for your organization. Upload images, videos, and GIFs once, then reuse them across multiple posts without re-uploading each time. Assets are shared across all team members in the organization.

Assets belong to the organization, not to individual users. Any member with Member role or above can view, use, and upload assets.

Uploading Assets

Navigate to Assets

Click Assets in the sidebar.

Click 'Upload'

Press the Upload button and select files from your computer, or drag and drop files directly onto the assets grid.

Wait for processing

Files are uploaded to secure cloud storage. Images and videos are processed and thumbnails are generated automatically. Large video files may take a few minutes.

Asset is ready to use

Once uploaded, the asset appears in the grid and is immediately available to use in the Composer or the canvas editor.
You can upload multiple files at once. Drag a selection of files from your file explorer directly onto the Assets page to batch-upload.

Supported Formats

The Assets Store accepts the following file types:

  • Images: JPEG, PNG, WebP, HEIC/HEIF (converted to JPEG on upload)
  • Video: MP4, MOV, AVI, MKV (MP4 is recommended for widest platform compatibility)
  • Animated GIF: GIF files are supported and can be used in posts that accept GIFs
RAW image files (CR2, NEF, ARW) are not supported. Convert them to JPEG or PNG before uploading.

Maximum file size per upload: 2 GB for video, 50 MB for images and GIFs.

Organizing Assets

Assets can be searched and filtered to help you quickly find the right media.

  • Search by file name using the search bar in the top-right of the Assets page.
  • Filter by file type: Images, Videos, or GIFs.
  • Sort by upload date (newest first by default) or file name.
  • Rename any asset by clicking its name below the thumbnail.
Use descriptive file names before uploading (e.g. product-launch-banner-april.jpg) to make assets easier to find later.

Using Assets in the Composer

Any asset in your library can be attached to a post directly from the Composer without downloading and re-uploading the file.

Open the Composer

Start a new post or open a draft.

Click 'Add Media'

In the media attachment area, choose From Assets.

Browse and select

The assets picker opens. Search or filter your library and click the asset(s) you want to attach.

Asset is attached

The selected asset appears in the media preview section of the Composer, ready to publish or schedule.

Assets can also be used in the Visual Editor (canvas editor) to create branded graphics that can then be saved back to the Assets Store.

Storage Limits

Storage quota is shared across all assets in your organization and is determined by your plan.

  • Free: 500 MB total
  • Pro: 5 GB total
  • Agency: 50 GB total

You can see your current storage usage in Organization Settings → Storage. If you approach your limit, upgrade your plan or delete unused assets.

Deleting Assets

Deleting an asset removes it from your library and frees up storage quota. Be careful — if the asset was used in a past post, the media on that post will no longer be accessible.

  • Hover over an asset thumbnail and click the trash icon.
  • Confirm the deletion in the dialog that appears.
  • Deletion is permanent — assets cannot be recovered after deletion.
Deleting an asset does not delete or unpublish any posts that used it. However, the media will no longer be accessible via Octapost's storage URL after deletion.
